Planning a Multi-Site Business Phone System

A practical guide to planning numbers, routing, connectivity, resilience and support for a business phone system shared across several sites.

A multi-site phone system should make separate locations easier to operate without creating one oversized point of failure. Employees need consistent calling and simple transfers, while each site may have different numbers, opening hours, connectivity and continuity requirements.

Planning should therefore cover business processes and network design together. Moving every site onto one platform without documenting local differences can replace several small problems with one complex one.

Inventory every site and service

Record addresses, teams, user counts, telephone numbers, opening hours, connectivity and existing equipment for each location. Include warehouses, small branches, reception points and temporary sites—not only major offices.

Identify analogue and specialist services such as alarms, lift lines, entry systems and fax equipment. They may need separate treatment and should not be assumed to work through the new IP platform.

Design a consistent extension and number plan

A common extension structure makes internal calling and administration easier. Avoid overlapping ranges and reserve space for future locations or departments. Decide whether direct-dial numbers follow employees, roles or sites.

Published local numbers may need to remain associated with their original branches even when calls are answered elsewhere. A suitable multi-site business phone system can centralise control while retaining local identities and routing.

Map inter-site and overflow routing

Document where calls should go during normal hours, busy periods, local closures and complete site outages. One branch may provide overflow for another, or a central team may answer all first-line calls.

Make routing understandable to employees and callers. Complex chains of transfers can increase delay and make faults difficult to diagnose. Use clear schedules, queue limits and final destinations.

Assess connectivity at each location

Every site needs sufficient and stable upload capacity, appropriate local switching and sensible quality-of-service controls. A small branch with poor connectivity can have a worse experience than a large office with many more users.

Where voice availability is operationally important, consider a managed business fibre leased line or an appropriate resilient broadband design. The choice depends on call volume, applications, location and the impact of failure.

Plan resilience at platform and site level

Central hosting can remove the need for a PBX at every branch, but it does not remove local dependencies. Consider platform availability, carrier routes, internet circuits, routers, switches, power and handsets.

Define whether calls should reroute to another site, mobile users or a recorded message during failure. Test the plan rather than relying on diagrams. An alternative route is useful only if it has enough capacity and the receiving team knows what to do.

Choose devices by role and environment

Standardising a small set of supported devices can simplify provisioning and spares. However, reception, warehouse, meeting-room and home users may need different handsets or applications.

Consider PoE availability, cabling, wireless coverage and local environmental conditions. Document the approved models and firmware so replacements do not introduce unsupported combinations.

Central administration with local responsibility

A shared platform can provide consistent templates, reporting and access control. Decide which changes are central, which local managers can request and who approves call-routing changes. Use role-based permissions rather than sharing one administrator login.

Maintain an accurate inventory of users, numbers and devices. This supports fault diagnosis, billing checks, security reviews and future office moves.

Migrate in controlled phases

Pilot the design with a representative site before migrating every branch. Test inbound and outbound calls, emergency arrangements, transfers, queues, caller identification, voicemail and out-of-hours routing.

Phase number ports and user moves where practical. Keep an issue log and feed lessons from each site into the next. Training should reflect real roles, not deliver the same generic session to every employee.

Support across supplier boundaries

Multi-site faults can involve the PBX, SIP service, number routing, access circuit or local network. Establish who owns diagnosis and how suppliers cooperate. A central support contact can reduce the time employees spend deciding whom to call.

Review performance after migration using call reports, user feedback and fault history. Capacity and routing should evolve as teams and locations change.

Reporting and cost allocation

Decide whether managers need reports by site, department, queue or cost centre. A shared platform can centralise information, but inconsistent names and undocumented routing make reports difficult to interpret. Establish a naming standard before migration and keep it as locations change.

Commercial reporting may also need to separate licences, numbers, hardware, call traffic and connectivity by branch. Agree whether the provider can supply this breakdown and how shared services are allocated. Transparent reporting helps the business identify genuine growth rather than unexplained bill changes.

Opening, closing and relocating sites

A multi-site design should make planned changes repeatable. Create a process for ordering connectivity, reserving extensions, assigning numbers, shipping devices, testing emergency calling and updating published contact information. Site closure needs equally careful handling so numbers route correctly and equipment or licences are recovered.

For relocations, assess the new circuit early. Number portability, installation lead times and building access can affect the schedule. Temporary routing or remote applications may provide continuity, but these arrangements should be tested before the move date.
