How to Choose a Business Phone System: A Practical UK Checklist

Choosing a business phone system is easier when the discussion starts with how your organisation actually handles calls. Product names and feature lists matter, but they should come after practical questions about callers, employees, locations, working patterns and the consequences of an outage.
This checklist helps UK organisations create a clear requirement before comparing suppliers. It applies whether you are replacing an ageing PBX, moving to hosted telephony or reviewing a system that no longer fits the business.
1. Map how calls enter and move through the business
Begin with the customer journey. List every published telephone number, the team that answers it, opening hours, overflow arrangements and what should happen when nobody is available. Include reception, sales, service, accounts, out-of-hours cover and any direct-dial numbers.

2. Count people, locations and concurrent calls
User count is only one sizing factor. Note how many people need an extension, how many need a dedicated number and how many calls normally happen at the same time. Include internal calls, conference participants, contact-centre peaks and seasonal demand.
Also identify branches, home workers, warehouses and temporary locations. A system that looks adequate for one office may need different connectivity, survivability or administration when several sites share the same call plan.
3. Separate essential features from useful extras
Create three lists: essential on day one, useful later and unnecessary. Common essentials include hunt groups, queues, voicemail, schedules, call transfer, mobile or desktop applications and simple administration. Recording, wallboards, CRM integration, advanced reporting and automated workflows may be important, but only for defined users and processes.
Ask suppliers to demonstrate the exact workflow rather than confirm that a feature exists. A queue is not useful if supervisors cannot see the information they need, and an application is not suitable if everyday actions require unnecessary steps.
4. Decide how employees will answer calls
Some users work best with a desk phone; others prefer a headset and desktop application. Mobile workers may need an app, DECT coverage or both. Receptionists and high-volume call handlers often need different controls from occasional users.
Test devices in the real working environment. Consider noise, shared desks, accessibility, wireless coverage, power and how easily people can transfer or park calls. A flexible business VoIP service should support an appropriate mixture rather than force every employee into one working style.
5. Review connectivity and resilience
Hosted systems depend on reliable IP connectivity. Check upload capacity, latency, jitter, packet loss, router quality and local network design. Wi-Fi may be convenient, but wired connections are normally more predictable for fixed desks.
Agree what should happen if the main circuit, office power or platform becomes unavailable. Options can include backup connectivity, mobile applications, automatic number rerouting and geographically resilient hosting. The right design depends on the operational impact of missed calls, not on a claim that any single component is infallible.
6. Plan number retention and migration
Build a verified list of numbers before placing an order. Confirm which supplier currently controls them, the account details, address records and any associated services. Do not cancel the old service before the porting plan is agreed.
A sensible migration includes testing, temporary routing, user guidance and a rollback or contingency plan. It should also account for alarms, door-entry systems, lift lines, payment terminals and other services that may still depend on analogue or specialist connectivity.
7. Compare support and operational ownership
Ask who supports the handset, PBX, SIP service, numbers and connectivity. If several suppliers are involved, establish who leads diagnosis when the cause is unclear. Check support hours, escalation paths, change-control arrangements and whether routine administration is included.
Consider who can add users, alter call flows and retrieve recordings. The system should be manageable without weakening access control or relying on one employee’s undocumented knowledge.
8. Calculate the whole-life cost
Compare more than the headline monthly charge. Include licences, hosting, call traffic, telephone numbers, porting, handsets, headsets, installation, training, connectivity, support and expected contract changes. Check how costs change when users or call capacity increase.
Contract length, notice periods and ownership of equipment or numbers can matter as much as the first-year figure. A transparent proposal should state assumptions and identify optional items clearly.
A practical final check
- Document numbers, call flows, opening hours and peak demand.
- Define essential features and the users who need them.
- Test handsets, applications and headsets with representative employees.
- Assess connectivity, local networking and failure scenarios.
- Agree number porting, training, support and migration ownership.
- Compare total cost and contractual flexibility.
Questions to ask shortlisted suppliers
Ask each supplier to explain the proposed architecture in plain language. Where is the platform hosted? Which organisation provides the SIP service and telephone numbers? Who has access to administrative controls, recordings and backups? What monitoring is active, and what happens outside normal support hours?
Request a clear implementation plan showing discovery, configuration, testing, number porting, training and post-migration support. The proposal should identify work that depends on your IT team, current provider or other third parties. It should also state how emergency calling, caller identification and location information will be handled.
Finally, ask for a demonstration based on one of your actual call journeys. Have a receptionist, manager and ordinary user take part. A realistic test often reveals more than a long specification sheet because it shows whether important actions are intuitive and whether the supplier understands the business process.
Avoid choosing only on the monthly headline
A low initial price can exclude migration work, hardware, support or sufficient call capacity. Conversely, a feature-rich package can be poor value when most features do not support a defined requirement. Compare proposals against the same checklist and ask suppliers to price exceptions separately. This makes differences visible and gives the business a useful record of why the final choice was made.
