3CX licensing should be sized around the current product edition, required features and call capacity rather than treating every extension as a separately billed telephone line. Product names and entitlements can change, so validate the current 3CX terms before ordering or renewal.
Users and extensions
A user or extension represents a person, room or function configured on the system. The number of configured users helps define administration and usage, but it is not the same as the maximum calls active at one moment.
Simultaneous calls
Simultaneous-call capacity covers calls in progress at the same time, including relevant call legs and system functions under the applicable licence rules. Estimate peak concurrency from call records and future plans rather than employee count alone.
Editions and features
3CX currently describes Basic, PRO and AI editions, with different features and licensing arrangements. Do not select an edition by name alone. Map required queues, reporting, integrations, contact-centre or AI functions against the current official comparison and 3CX licensing options.
Capacity planning
- Review peak inbound and outbound concurrency.
- Include conferences, queues and call flows.
- Allow for known recruitment and campaigns.
- Check whether the SIP service also has a channel limit.
- Monitor busy-hour usage after deployment.
Renewal and ownership
Record the licence owner, renewal date, edition, capacity and partner responsibilities. Confirm what happens if renewal is missed and who can access the customer portal. Keep the licence aligned with the deployed version and support plan.
Hosted costs are broader

Example sizing exercise
A business with many extensions may have only a modest busy-hour call peak, while a smaller sales team running outbound campaigns can require greater concurrency. Review call records by fifteen-minute interval, then consider queues, conferences and future campaigns before selecting capacity.
Revisit the figures after deployment and before renewal. If busy events approach the selected limit, investigate whether the cause is normal growth, unusual routing or a configuration that creates additional call legs before purchasing an upgrade.
